Importing members

Select the Import members option (available in the Members form and the Customers and Billing main form).
Select the Create template option.
A workbook will be created for you into which your data is to be inserted.
Instructions are included as follows:-
1)     Your data must reside on this sheet(Sheet1)
2)     Do not overwrite or change the first 3 rows
3)     If your fields exceed the maximum lengths indicated, they will be truncated(reduced)
4)     UniqueNumber would be an employee/student number or an identity number
5)     Gender is either M for male or F for female
6)     DateOfBirth must be a valid date format - preferably use the format dd-Mmm-yyyy
7)     Inactive members are tagged as deleted - values accepted are True/False/T/F/Yes/No/Y/N/1/0
8)     Create additional Group columns(after the last Group column) if you wish to indicate extra groups. Ensure the headers for additional groups are the same as those provided in this template
9)     The first empty cell in the UniqueNumber column signifies the end of the data
10)     Validating and importing is subject to the volume of data. Consider importing in batches in high data volume scenarios
Save your data as 'Members.xls'(Excel 97-2003 workbook)
Once you have created the workbook as per the instructions, click the Import from (Click to browse) box and locate the Members.xls file then select Validate.
Any validation errors are displayed in the Validation errors grid.
Field values that exceed the maximum allowable length will reflect as validation errors but they won’t prevent you from importing the data.
Errors such as duplicate Student/employee unique numbers (UniqueNumber) will prevent you from importing any of the data.
Auto remove existing that are not included in the synchronized data. Members currently in the database but not included in the imported data are tagged as removed if this option is checked.
This will impact on members that were created manually however those members can be reinstated in the Members form.
If left unchecked, the import process will add new members where necessary and update the details of existing members currently listed on the database.
Existing members not present in the data are left as is.
Existing membership group assignments for members being updated are removed entirely and replaced by the groups specified in the import data.
New groups may be created during the import process.
Existing groups are left unchanged.
