Subhirables assigned to booking

Select the Subhirables allocated to booking option.
All hirable subhirables locked to the facility and any non-locked hirable subhirables will appear in the list.
Select the Subhirable item.
Use the icon to establish if the subhirable is available. Ensure you have indicated the date and times before selecting this option.
The subhirable will not be available if it has either been assigned to another booking in the same window or has been scheduled for maintenance and the Facility remains hirable option was not enabled on the maintenance schedule.
The subhirable report icon will bring up a report which includes all subhirable assignments to bookings and any scheduled subhirable maintenance.
The option will launch the Facilities and Subhirables module.
 
Select the Allocate from date and at time as well as when the Allocate to and at what time.
These values are restricted by the booking dates and times.
Use the icon to apply the same dates and times as specified for the booking.
 
Price base. Select the charge out basis for the subhirable.
You can only select a charge out basis if a standard selling price has been specified in the Facilities and Subhirables module.
The Units are calculated automatically based on the price base the duration the subhirable is to be hired out.
The Units must be greater than zero even if you do not intend specifying a price. If the calculated units are zero, enter a value (e.g. “1”).
If you do not have subhirable unit override permission and the Units calculate to zero, you will not be able to add the subhirable to the booking.
An authorised user can select the unlock icon in the Units field, enter their password and then enter the override units.
If you do not have price change or price viewing permission or the booking is new, the Price to charge is automatically recalculated based on the Units.
The icon alongside the Units field will calculate the standard Units.
 
The icon alongside the Price to charge field will recalculate the Price to charge based on the Units and standard pricing.
Pricing of subhirables already added to a booking may need to be updated if you change the date and time of the booking or the date and time you allocated the subhirable to the booking. This is not automatic!
If you do not have permission to override pricing, an authorised user can select the unlock icon in the pricing field, enter their password and then enter the override price.
This option is only visible if you do not have permission to override the corresponding price item (subhirable or purchase item).
Three successive failed attempts at entering a valid password (or username if requested), will result in termination of the module.
 
If the subhirable is assignable to a member, the various membership fields will be enabled. See Subhirables in the Facilities and Subhirables module.
Select the Membership group and then select the member in the Assign to member field.
The “Member subhirable assignment report” icon will bring up a report which includes all subhirable assignments and roll calls the member has been assigned to over the reporting period.
The icon will launch the Customers and Billing module where Members can be managed.
The comments field is for booking document purposes, it is not reflected on the invoice or delivery note!
 
Add subhirable. The addition will appear in the grid.
The addition is committed to the booking when the Add booking (Update booking if you are making changes to an existing booking) option is selected.
You may add a subhirable more than once provided the booked window for that subhirable does not overlap with another booked window for the same subhirable.
Always ensure the allocated subhirable falls on a valid day (e.g. Sundays or public holidays may not be suitable).
 
To make any changes to a subhirable allocated to the booking, select it in the grid, make the necessary changes and Update subhirable.
